What is an ePOS system?
An ePOS system is an electronic point-of-sale system: software and connected devices that record sales, calculate the amount due and capture the payment outcome. Depending on the setup, it can also update stock, route orders, manage customer rewards and share records with accounting or other business systems.
In this guide, ePOS means the technology category. EPOS is also the name of a Singapore POS vendor. This is an EISOL guide to electronic POS systems, not a product guide issued by that vendor. A brand name alone does not determine which deployment, hardware or workflow is right for your business.
For a Singapore retailer, the important question might be whether a return updates stock and reverses the correct payment. For a café, it might be whether a changed order reaches the kitchen correctly. Choose an electronic POS system by following these everyday tasks through to completion.

ePOS vs POS vs POS machine: what is the difference?
POS means point of sale; the “e” in ePOS specifies electronic. In modern software buying, the terms often overlap. A POS machine is the physical device used at the counter. Buying the machine does not automatically include the software, payment contract, integrations or support needed to operate it.

Which type of electronic POS system do you need?
POS “types” describe different decisions. Cloud or on-premise describes where the software and data are hosted. Countertop, tablet and mobile describe the device. Retail, restaurant and omnichannel describe the workflow. One system can belong to several categories: a tablet at a shop counter may run cloud software and share inventory with an online store.

Cloud and on-premise ePOS
Cloud ePOS can support central administration and access across locations. On-premise software places more responsibility on local infrastructure and its support arrangements. A hybrid claim needs a precise explanation: which records remain local, when they sync, and who resolves conflicts. Ask for a demonstration of the actual configuration.
Countertop, tablet, mobile and kiosk POS
A fixed counter suits a staffed checkout; a handheld can bring order taking to the customer. Tablets offer another screen format, while kiosks let customers enter their own orders. Hardware choice should follow the task. Check charging, screen readability, receipt printing, accessibility and the fallback when a device fails.
Retail, F&B and omnichannel POS
Retail needs often centre on variants, stock counts, purchasing and returns. F&B operations may need modifiers, kitchen routing and order status. Omnichannel selling adds questions about shared availability, reservations, collection and cross-channel returns. Request the exact journeys your business uses; a channel logo does not explain how an integration behaves.
How does an ePOS system work from sale to settlement?
A useful demo follows one transaction across the complete workflow. The following sequence is an evaluation model; the selected products, payment provider and integration scope determine which steps are automated.

The distinction between a successful payment and a settled bank deposit matters. A terminal can approve a payment while the POS loses the response. The team then needs a way to check the original transaction before attempting another charge. Ask who owns that recovery process and how the audit trail is retained.

Treat these as acceptance tests, not assumptions about every POS package. Record the result, any manual steps, extra charges and the team responsible. Confirm Singapore availability for the exact payment product and hardware being proposed.
Can a cloud ePOS system work without internet?
Some cloud POS systems offer limited offline selling, but recording a sale and authorising a payment are different capabilities. Test what works when the internet fails, what requires prior setup, which functions stop, and how unsynchronised transactions are recovered. Do not assume that offline checkout includes offline card or QR payment acceptance.

Open API or open-source POS: which matters for integration?
An open API and open-source software are different. An API provides an interface for systems to exchange data or perform supported actions. Open source concerns the software licence and access to source code, including rights to modify and redistribute it under that licence. A proprietary POS can offer APIs; open-source software can still require substantial implementation and maintenance.

For integration, request the available data fields, access conditions, rate limits and event notifications. Agree which system owns product, stock and customer records. Then test delayed updates, duplicate messages and failed transfers. A working connection also needs someone to detect errors and resolve them.
How should you compare ePOS system costs?
Compare quotations over the same period and operating scope. Include software subscriptions, devices, payment charges, data migration, setup, training, integrations and support. List optional modules and expansion fees separately. A low monthly software price can leave important implementation work outside the quote.
Use a consistent worksheet: one-time setup + recurring software and support + payment charges at your expected sales volume + required integrations and replacements. Ask what happens at renewal, when an outlet closes, and when you export your data. Obtain a written quote before committing to hardware.

Choose the system that passes your essential workflows within the full project budget. Retailers should test stock and returns; F&B operators should test order changes and fulfilment. Compare the implementation and support plan alongside software features.
Can I use an existing tablet or POS machine?
Possibly. Confirm the exact device model, operating system, browser or app version, and compatibility with printers, scanners and payment terminals. Ask the implementer to confirm support before reusing or purchasing hardware.
Does a cloud ePOS automatically integrate with accounting?
No. Check whether the proposed connection is a native connector, file export or custom integration. Agree how sales, refunds, fees and settlement records are mapped, and how errors are detected and corrected.
What should I ask when comparing EPOS and other POS vendors?
Give every vendor the same demo tasks and request a comparable written scope. Review payment compatibility, migration, offline behaviour, data export, support coverage and total cost. Decide using demonstrated fit and contract terms rather than the similarity of product names.
